  • To add a new instrument, go to Instruments and select My Instruments. At the top, there’s a dropdown—choose Add New Instrument.

  • In this case, we're adding a violin bow. Select Violin Bow as the instrument type. This particular bow is a John Q. Dodd from the National Music Museum Collection, so we’ll add that information to the instrument notes. Click OK to create the instrument.

    The new instrument now appears and is automatically assigned to your user account. What we entered in the notes field is visible and editable. Let's go ahead and clean that up a bit, then click the save icon to confirm.

  • Next, we'll enter some basic details:

    • Type: Violin bow
    • Maker Name: John Q. Dodd
    • Year Made: [enter if known]
    • Country of Origin: London, England

    Click Save to store those details.

  • Now let's add some photos. Go to the Photos tab. You can either click the upload area and select files from your computer, or simply drag and drop them in. I’ll upload a full-length image of the bow, a close-up of the tip, and one of the frog. Once they’re in, click Save. You can then click on any photo to view it in a larger format.

  • Next, we’ll add materials. Go to the Materials tab. For the stick material, search for and select Pernambuco. It’s best to choose an entry with a single scientific name. Then add the other materials used in the bow, such as horsehair for the hair, and silver for the button.

    These details will appear in the Alliance documentation as well as the BDQ 505 compliance report.

  • Finally, let’s upload supporting documentation. Go to the Documents tab and upload the PDF you downloaded from the National Music Museum website. Click Save once it's uploaded. You can click the file afterward to view the full document.

  • And that’s it—the instrument is now fully entered into the system, complete with photos, materials, and documentation.

    We can create an Alliance Bow document and see that all the data we've added is available for viewing.
